FAQ - Rule/RSFA Authoring System (RAS) software

1. After installing the RAS software I get a message saying macros are disabled.
2. When copying and pasting from a MS Word (Word) document, I get (A) or (1) at the beginning of my pasted paragraph.
3. I'm amending a rule and want to strike through the paragraph and the level numbering, but only the paragraph is stricken -- not the number.
4. When striking through a level (the paragraph and level number), the sub-levels are stricken as well.
5. When amending a rule, I struck through a few words in a paragraph and then tried typing new text beside it. The text did not appear on the screen.
6. When trying to copy and paste a table from an outside document, the "Paste Table" option is not available (grayed out) on the Edit dropdown menu.
7. How do I create or add an appendix?
8. How do I insert a graphic (picture, figure, chart, etc.) into my rule?
9. When closing a rule, a dialog box appears that asks "Save changes to an application.dot file?" What should I choose?

Q1. After installing the RAS software I get a message saying macros are disabled.

A. In MS Word 2000 and 2002XP, macro security needs to be changed to medium. Open MS Word (Start, Programs - open either MS Word or Microsoft Office). Next, select Tools - Macros and Select Medium. Close Word. Open the RAS software. If a dialog box appears asking you to enable or disable macros, select 'Enable macros.'


Q2. When copying and pasting from a MS Word (Word) document, I get (A) or (1) at the beginning of my pasted paragraph.

A. This is caused by auto-numbering in the MS Word document from which you are copying. You can just delete the (A) or copy one paragraph at a time, making sure that you are not going beyond the last character in the paragraph from which you are copying.


Q3. I'm amending a rule and want to strike through the paragraph and the level numbering, but only the paragraph is stricken -- not the number.

A. To strike through the number as well, you will need to highlight the level number when you highlight the paragraph, then select strike out.


Q4. When striking through a level (the paragraph and level number), the sub-levels are stricken as well.

A. This is by design. You can, however, go to each stricken sub-level and reinstate it by highlighting it and selecting Tools, Reinstate, or by selecting the reinstate icon.


Q5. When amending a rule, I struck through a few words in a paragraph and then tried typing new text beside it. The text did not appear on the screen.

A. The cursor is still in the stricken or "old" text. Look at the Context field in the toolbar and use the right arrow key to move the cursor until the 'old' disappears from the end of the context line. You can now type in the new text.


Q6. When trying to copy and paste a table from an outside document, the "Paste Table" option is not available (grayed out) on the Edit menu dropdown.

A. The cursor position needs to be corrected. Look at the Context field in the toolbar and use the right arrow key to move the cursor until the last item in the context line includes either "level" or "para." You should now be able to select "Paste Table" from the Edit dropdown menu.


Q7. How do I create or add an appendix?

A. Appendices should be submitted in the PDF format. If your agency has software to create PDFs, or a scanner, you can create a new appendix in your word processing software and then create the PDF. You can also create a PDF in the LSC Rule-filing kiosk. If you have an existing paper appendix, you can use your scanner, or the scanner in the kiosk, to make a PDF.


Q8. How do I insert a graphic (picture, figure, chart, etc.) into my rule?

A. The "insert a graphic" option is available in specific locations within the document. Place your cursor where you want to insert the graphic. Right-click your mouse to see if "Insert a Graphic" is offered. If the menu shows "more," look there for the graphic option as well. If insert graphic is listed, select it and you will be prompted to navigate to the file of the graphic you wish to insert.

If the "insert a graphic" option is not available, look at the Context field in the toolbar and use the right arrow key to move the cursor until the last item in the context line includes either "level" or "para." Right-click your mouse to see if "Insert a graphic" is offered. Select the option and you will be prompted to navigate to the file of the graphic you wish to insert.


Q9. When closing a rule, a dialog box appears that asks "Save changes to an application.dot file?" What should I choose?

A. NO. Always answer "No" to this question.
